Console: OVERVIEW
gospace schedules space for employees with their team on the days that they want to work in the office. Employees set their schedules and gospace does the rest. Administrators no longer have to create static team zones/neighbourhoods which need constant updating. AIDRA creates dynamic team zones every day for every team based on their previous attendance history and space they schedule. This ensures every team has the right amount of space every day.
Every day gospace checks which employees have scheduled or are likely to go to the office (based on their previous attendance).
It considers every team's preferences and requirements (including the other teams they work with or if a team needs a specific workspace type). These are set by administrators in the console.
It allocates the right amount of workspace for each team based on their requirements, using the principle of minimum disruption (allocating teams in approximately the same location each time they are in the office).
Scenarios
A scheduled scenario is created when AIDRA evolves, allocating all teams onto the floorplan for each day up to 4 weeks in advance. These future scheduled scenarios are updated once a day when AIDRA evolves to include the latest scheduling and forecasting data. A source scenario contains all the specific team requirements ie, fixed in a certain location or a particular floor etc, which AIDRA uses as a baseline to apply all requirements to future scheduled scenarios. Scenarios are viewed in the Workplace tab.
Teams
There are two types of teams: imported and custom. Imported teams are uploaded directly via integration with your system, and custom teams are created by employees. Both admins and employees can create connections between teams so they are allocated to space near each other. As there are many types of teams, these are sometimes referred to as groups. Teams are viewed in People tab.
Plans
Floorplans are created by the gospace support team and uploaded into your account. They can be updated at any time (updates usually take 24 hours). Floorplans can have zones and worksetting/area labels to help AIDRA allocate teams into specific types of space. Plans are viewed in the Building tab.
Forecasting
AIDRA forecasts the amount of space required for each team each day based on previous attendance data which is automatically uploaded. It also considers whether the person has scheduled space each day, and with which team. See more detail
